
Roundcube is an open-source Webmail client that lets you send and receive @yourdomain.com email directly from any web browser — no additional software required. Every AsiaGB Hosting plan includes Roundcube, accessible immediately from any device with an internet connection.
What is Roundcube?
Roundcube is a browser-based email client known for its clean interface and ease of use. It supports sending and receiving email, folder management, spam filtering, email signatures, and an address book — similar in convenience to Gmail, but all data stays on your own Hosting server, not Google's.
Accessing Webmail Roundcube
Open the Webmail URL
Navigate to https://yourdomain.com/webmail or https://webmail.yourdomain.com in your browser, replacing yourdomain.com with your actual domain.
Select Roundcube
The Webmail page displays 3 options: Roundcube, Horde, SquirrelMail. Click Roundcube.
Login with your Email + Password
Enter your full email address, e.g. [email protected], and the password set in DirectAdmin.
Start Using Email
Your Inbox appears. Click Compose to write a new email, or read incoming messages in Inbox.
Setting Up Your Email Signature
A signature is text automatically appended to every email you send, such as your name, title, phone number, and website link. To configure it:
- Click Settings (gear icon) in the top-right corner
- Select Identities → click your email address
- Scroll down to the Signature field and type your signature text
- Check HTML Signature to enable formatting (bold, links, images)
- Click Save
Managing Folders
Roundcube includes default folders: Inbox, Sent, Drafts, Spam, Trash. You can create custom folders to organize email:
- Right-click any folder in the Sidebar → Add Folder
- Name the folder and choose a Parent Folder if needed (subfolder)
- Click Save — the new folder appears in the list
Setting Up Email Filters
Filters automatically move emails matching specific criteria to designated folders — e.g., all newsletters move to a "Newsletter" folder:
- Settings → Filters → click + to add a new rule
- Name the filter and set conditions, e.g. Subject contains "Newsletter"
- Set Action: Move to Folder → select the destination folder
- Click Save
Tip: If email is loading slowly or large attachments aren't going through, check your Disk Quota in DirectAdmin. A full mailbox prevents sending and receiving email. Set an appropriate quota for each account.
Adding Contacts (Address Book)
Roundcube includes a built-in Address Book to save contact names and email addresses:
- Click the Contacts menu → Add Contact
- Fill in name, email, phone, and other details
- When composing email, type the name in the To: field — Roundcube autocompletes from your contacts
Accessing Email on Mobile
Roundcube supports responsive design and works in mobile browsers. However, for push notifications, configure IMAP in a dedicated Mail App (Gmail App or Outlook) using these settings:
- IMAP Server: mail.yourdomain.com Port 993 (SSL)
- SMTP Server: mail.yourdomain.com Port 465 (SSL) or 587 (TLS)
Roundcube Email Security Best Practices
Keeping your email account secure is critical, especially when accessing it from a browser on a shared or public device. Roundcube provides several built-in protections, and following these practices will significantly reduce your risk.
Use a Strong Password
Set a password that mixes uppercase, lowercase, numbers, and special characters — at least 12 characters long. Avoid dictionary words or personal information that could be guessed. Update your email password at least once every six months.
Always Log Out After Each Session
After finishing your email session — especially on a shared or public computer — always click the Logout button in the top-right corner. This ends your Roundcube session immediately and prevents unauthorized access.
Watch Out for Phishing Emails
Never click links or download attachments from unknown senders. Roundcube includes built-in spam filtering, but you should also manually mark suspicious messages as Spam to improve future filtering accuracy for your account.
Session Timeout Behavior
Roundcube automatically logs you out after a period of inactivity (session timeout). The duration depends on your server configuration. If you use Roundcube on a public network, close the browser tab after logging out for an extra layer of protection.

Set Up an Auto-Reply (Vacation Message)
When you are away and cannot respond to emails, set up an auto-reply in DirectAdmin → Vacation Message. The server will automatically respond to every incoming email during the period you specify, keeping your contacts informed.
Maximum Attachment File Size
The maximum attachment size when sending email through Roundcube depends on your Hosting plan's PHP upload limit, typically 25–50 MB. For larger files, use a cloud storage service (Google Drive, Dropbox) and share the download link in your email instead.
Browser Notifications for New Email
Some versions of Roundcube support browser notifications when new email arrives while the browser is open. Allow this notification when prompted by your browser to avoid missing important messages while you work in other tabs.

Troubleshooting Common Roundcube Issues
Even with a reliable Hosting setup, you may occasionally run into Roundcube issues. Here are the most common problems and how to fix them.
Outgoing Email Goes to Recipient's Spam Folder
This is usually caused by missing DNS authentication records. Ensure your domain has SPF, DKIM, and DMARC records configured in DirectAdmin. These records tell receiving mail servers that your domain is authorized to send email, significantly reducing the chance of landing in spam.
Cannot Log In to Webmail
First, confirm the URL is correct (yourdomain.com/webmail or webmail.yourdomain.com). Then check the AsiaGB server status page at asiagb.com/status.html to ensure Hosting services are running normally. Finally, try clearing your browser cache and cookies before logging in again.
Emails Loading Slowly or Attachments Failing
Slow loading often indicates the mailbox Disk Quota is nearly full. Check your quota in DirectAdmin and delete old emails or large attachments. You can also archive older emails to free up space without permanently deleting important messages.
