  1. Log in to DirectAdmin at yourdomain.com:2222
  2. Navigate to Email Manager → Email Accounts
  3. Click Create Account
  4. Fill in the details:
    • Username: the part before @ (e.g., info, support, hello)
    • Password: use a strong password — at least 12 characters with numbers and symbols
    • Quota: disk space for this mailbox — 1,000 MB or more is recommended for active use
  5. Click Create to save

Quota tip: Because Roundcube keeps all emails on the server (IMAP), your mailbox will grow over time. Set a quota of at least 2,000 MB if you plan to keep years of email history without archiving.

Step 2: Access Roundcube Webmail

Option A: Through DirectAdmin

  1. Log in to DirectAdmin → Email Manager → Webmail
  2. Select Roundcube from the webmail client list
  3. You'll be redirected to the Roundcube login page
  4. Enter your full email address (e.g., [email protected]) and your password

Step 3: Configure Roundcube for the First Time

  4. Write your Message Body — include your return date and an emergency contact if needed
  5. Set the Interval — number of days before the same sender receives another auto-reply (7 days is a sensible default)
  6. Save

Important: Vacation Notice runs on the mail server — you do not need to leave Roundcube open. It replies automatically 24 hours a day. Remember to turn it off when you return.

Roundcube Security Best Practices

Business email accounts are frequent targets for phishing and brute-force attacks. These habits will significantly improve your security:

Use a strong, unique password

Your email account password should be at least 12 characters long, mixing upper and lowercase letters, numbers, and symbols. Never reuse the same password for DirectAdmin, FTP, or other services — a compromise of one will not cascade to others.

Recognise phishing attempts

Never click links in emails asking you to enter credentials, even if the message appears to come from a bank or familiar service provider. Always type URLs directly in your browser. Always check the actual From address (not just the display name) before acting on a request.

Review your Sent Items after logging in

If your account is compromised, spam is often sent without your knowledge and appears in Sent Items. Making it a habit to glance at Sent Items helps you catch unusual activity early.
