What Is Email Forwarding and How to Set It Up on DirectAdmin

What Is Email Forwarding?

Email forwarding is a feature that automatically redirects messages sent to a domain email address to another email account of your choice. For example, when a customer sends a message to [email protected], that email is instantly forwarded to [email protected] — without you needing to check a separate inbox or learn a new email system.

From the outside, your customers see a professional domain-branded address. On your end, you simply receive everything in the inbox you already use every day. It is one of the quickest ways to establish a professional email presence for a new business.

Why Use Email Forwarding?

Email forwarding offers several practical benefits, especially for small businesses and solo entrepreneurs:

Email Forwarder vs Full Mailbox: What Is the Difference?

Email Forwarder

A forwarder simply passes incoming emails along to another address. It does not store messages on the hosting server. When you reply to a forwarded email from Gmail, the recipient sees your Gmail address in the reply — not your domain address. It is a receive-only solution, best suited for people who primarily need to monitor incoming messages.

Full Mailbox

A full mailbox is a real email account hosted on the server with its own storage space. It supports both sending and receiving emails using your domain address. You can access it via Webmail in a browser, or configure an email client such as Outlook or Thunderbird using IMAP/POP3. You can also link it to Gmail so that Gmail fetches your domain email and lets you reply from your domain address directly. All AsiaGB hosting plans include full mailboxes at no extra cost.

Important: Email forwarding only handles incoming mail. To send emails from your domain address (e.g., [email protected]), you need a full mailbox or access to your hosting's SMTP server. Forwarding alone cannot handle outbound email.

How to Set Up Email Forwarding in DirectAdmin

All AsiaGB hosting plans come with DirectAdmin pre-installed. Setting up an email forwarder takes just a few clicks:

  1. Log in to DirectAdmin with your hosting account credentials — typically at yourdomain.com:2222.
  2. Navigate to the "Email" section in the main control panel dashboard.
  3. Click "Forwarders" or "Email Forwarders."
  4. Click "Add Forwarder."
  5. Enter the source email address — type the part before the @ symbol, for example "contact" to create [email protected].
  6. Enter the destination email address — the address where forwarded emails should be delivered, such as [email protected].
  7. Click Create. The forwarder is active immediately.

To forward to multiple destinations simultaneously, create separate forwarder entries for the same source address, or enter multiple destination addresses if your DirectAdmin version supports it. There is no limit on the number of forwarders you can create.

Tips for Getting the Most from Email Forwarding

SPF and DKIM: Making Email Forwarding More Reliable

When an email is forwarded, it travels through your hosting server before reaching the destination inbox. This relay path can occasionally trigger spam filters at services like Gmail. Setting up the following DNS records for your domain greatly reduces that risk:

SPF Record (Sender Policy Framework)

An SPF record tells receiving mail servers which servers are authorised to send email on behalf of your domain. Add a TXT record to your domain DNS:

v=spf1 include:asiagb.com ~all

The ~all flag means soft fail — messages that do not pass SPF are not outright rejected, making it safe to start with while you verify everything is working correctly.

DKIM (DomainKeys Identified Mail)

DKIM adds a cryptographic signature to outgoing mail that receiving servers can verify. DirectAdmin generates a DKIM key pair automatically. To enable it, go to DirectAdmin → Email → DKIM Keys, then copy the public key value into your domain's DNS as a TXT record.

Record Purpose Configured In
SPF Authorises sending servers Domain DNS — TXT record
DKIM Cryptographic sender signature DirectAdmin → Email → DKIM Keys
DMARC Policy for SPF/DKIM failures Domain DNS — TXT record (_dmarc)

Email Forwarding vs Gmail "Send As": Understanding the Difference

Many users confuse hosting-level email forwarding with Gmail's built-in "Send mail as" feature. They serve very different purposes:

Feature Email Forwarding (Hosting) Gmail "Send Mail As"
Receive email Yes, automatic Not this feature
Send from domain address No — needs full mailbox Yes, via SMTP
Configured in DirectAdmin Gmail Settings → Accounts
Requires Basic hosting plan Full mailbox + SMTP credentials

The best solution for most businesses is to combine both: create a full mailbox on your hosting plan, then link it to Gmail using "Send mail as" with SMTP. This lets you receive and send from your domain address entirely within Gmail — the interface you already know.

Common Email Forwarding Problems and How to Fix Them

Here are the issues users encounter most often, with practical solutions:

Real-World Email Forwarding Setups for Different Business Types

Here are three practical forwarding configurations that work well depending on your team size:

Solo Business Owner

A single-person business that wants a professional address without managing a separate inbox. Create two or three forwarders from your domain, all pointing to your personal Gmail:

Small Team

A small business with a few staff members can route emails to the right person by department:

Website Contact Form

Many websites send automated email from a noreply@ address. You can create a forwarder so that [email protected] delivers copies to your team inbox without needing a real mailbox behind that address.
